Team members and roles in basebox

What is User Management?

In user management, you as an administrator control who has access to your basebox organization and what permissions these people have. You can add, remove, and adjust the roles of team members.

Important: Only administrators can manage users. Regular users do not see these functions.

Understanding the Two Roles in basebox

👑 Administrator

What administrators can do:

  • Add, remove, and manage users

  • Change team members' roles

  • Adjust organization settings

  • Manage apps for the team

  • Use all regular user functions

👤 User (Standard Role)

What regular users can do:

  • Use chat with AI

  • Use available apps

  • Create their own apps (if permitted)

What regular users CANNOT do:

  • Manage other users

  • Change organization settings

  • View administration area

Open User Management

  1. Open Administration - Click on "Administration" in the sidebar

  2. Select Users - Click on "Users" in the administration menu

  3. Overview - You'll see all team members with their current roles

Remove Users from the Organization

When you need this: When team members leave the company or no longer need access.

How to remove a user:

  1. Select User - Find the person in the user list

  2. Click Delete Icon - Click on the trash icon 🗑️

  3. Confirm Deletion - Confirm the action in the popup window

What happens next:

  • The user is immediately removed from your organization

  • They no longer have access to basebox

  • Their apps and data remain in the organization

Change User Roles

When you need this:

  • Make a user an administrator

  • Remove admin rights from an administrator

  • Equip new team members with the right permissions

How to change a role:

  1. Select User - Find the person in the list

  2. Click Edit Icon - Click on the pencil icon ✏️

  3. Choose New Role - Select "Administrator" or "User"

  4. Save - Click on "Save"

The change takes effect immediately - the user receives or loses the corresponding permissions at the next login.

⚠️ Important Security Notes

Always Keep at Least One Administrator

Why this is important: Without an administrator, no one can manage users or change important settings.

What you should consider:

  • Never remove the last administrator

  • Make trustworthy team members co-administrators

  • Document who has administrator access

Regular Review

Recommendation: Check monthly:

  • Which people still have access

  • Whether all roles are still current

  • Whether former employees have been removed

Frequently Asked Questions

Can I temporarily deactivate a user?
No, you can only completely remove users. For temporary blocks, contact support.

What happens to the apps of a removed user?
The apps remain in the organization and can be managed by administrators.

Can a user make themselves an administrator?
No, only existing administrators can change roles.
